VolPets Ltd is the controller of personal information collected through this website and our enquiry and client registration forms. This notice explains what we collect, why we use it and how to contact us.

Information we collect
- Details you give us in an enquiry, including your name, contact details, postcode, message and information about your dog and requested services.
- Details you choose to provide in a private client form, including care instructions, emergency contacts, veterinary information, health and behaviour information, consents and optional vaccination images.
- Technical information needed to operate and protect the website, such as IP address, browser details and security logs.
- Your optional review-content choice, stored in your browser. If you allow the review widget, its provider may receive information about your visit.
Why we use it
- To answer enquiries and take steps you request before a service agreement (contract).
- To provide agreed services, arrange safe care for dogs, manage client records and communicate with you (contract and legitimate interests).
- To meet legal, accounting, animal-welfare and regulatory duties (legal obligation).
- To protect the website against abuse and maintain service security (legitimate interests).
- To load optional external reviews only if you choose to allow them (consent, which you may withdraw through Cookie choices).
We do not use this website to run advertising pixels or analytics, and we do not sell personal information.
Who receives information
Our website hosting provider processes data needed to serve the site. FormSubmit processes information sent through the public Contact form and the separate private VolPets Club form so it can deliver those messages by email. Where needed to provide care or meet legal duties, we may share relevant details with our staff, veterinary practices, insurers, professional advisers or authorities. If you allow optional reviews, SociableKIT provides that widget. External websites linked from ours have their own privacy notices.
International processing
Some service providers may process information outside the UK. Where UK law requires a transfer safeguard, we use an applicable adequacy decision or another valid transfer mechanism. Contact us for details relevant to your information.
How long we keep information
We keep enquiries for up to 12 months if they do not become a client relationship. Client and transaction records may be kept for up to six years after the relationship ends where needed for legal, tax, insurance or dispute purposes. Records needed for an active service or legal matter may be held longer as necessary. Your review-content choice remains in your browser until you change or clear it. Service providers may retain limited records under their own policies.
Your rights

We use reasonable measures to protect information. No internet transmission can be guaranteed completely secure. We may update this notice when our services or practices change; the date above shows the latest version.
